The Allen Event Center is equipped with audio visual equipment and software installed by Daktronics Inc. The software and major hardware components were acquired from International Coliseums Company in 2010 when the City of Allen took over management of the Arena, with equipment improvements made by the City of Allen in 2011 and 2017 through Daktronics using Buy Board competitive contracts. Service and maintenance agreements from the building installation and the 2011 purchases have expired, this Preventative Maintenance, Service and Repair Agreement is the cost to maintain service support and maintenance to the existing Daktronics system. The Daktronics software and system is proprietary to Daktronics Inc., making the service, support and repair a sole source function. The Service Package (Essentials Service Portfolio) and Preventative Maintenance (Annual System Check) agreement comprises 50% of the requested funds with estimated repair comprising 50%.

This agreement does not include audio service and repair which will follow City of Allen competitive purchasing guidelines if procurement needs are identified. Any purchase of equipment enhancements outside of maintaining the existing video and sports system would follow the City of Allen competitive purchasing guidelines.

Funds are budgeted and available in Allen Event Center FY18 Budget.

Staff recommends that the City Council authorize the City Manager to execute a Preventative Maintenance, Service and Repair Agreement with Daktronics, Inc., for the video and sports production equipment at the Allen Event Center in the amount of $45,000.
